BIM management and information management

External BIM managers and BIM coordinators, exchange information requirements, BIM execution plan and common data environment: information management for a project, to UNI 11337 and ISO 19650.
At a glance

B1P Group's BIM management gives designers, contractors and clients an external BIM manager and BIM coordinator who write the project rules (exchange information requirements, pre-appointment and post-appointment BIM execution plans), set up the common data environment and coordinate the models through to handover, to UNI 11337 and ISO 19650. Even for a single project.

Definition

What is BIM management?

BIM management is the information management of a project or an organisation: deciding what is to be modelled, by whom, with which rules and with which deliverables, and then making sure those rules are followed. It takes the form of specific documents (the client's exchange information requirements, and the appointed party's pre-appointment and post-appointment BIM execution plans) and of a common data environment through which everything passes with full traceability.

UNI 11337-7 defines the roles: the BIM manager sets the rules for the organisation or the project, the BIM coordinator coordinates the models and clashes, the CDE manager administers the common data environment. B1P Group provides them externally, formally appointed in the plan.

Deliverables
Exchange information requirements, pre-appointment BIM execution plan, post-appointment BIM execution plan, configured CDE, responsibility matrix, clash register, coordination and checking reports
Standards
Legislative Decree 36/2023 art. 43 and Annex I.9, MIT 2026 guidelines, UNI 11337-5, 6 and 7, ISO 19650-1, 2 and 5
Tools
Autodesk Forma or the client's CDE, Navisworks for federation, model checking tools; documents based on B1P Group templates compliant with Annex I.9

Who writes the exchange information requirements, and how?

The contracting authority or the private client writes them, because this is the document in which it sets out what it wants to receive: model uses, levels of information need, formats, common data environment, checks. B1P Group drafts them on the client's behalf following Annex I.9 and UNI 11337-6, tailored to the asset and to the market's ability to respond.

Requirements that ask everything of everyone produce generic bids and useless models; requirements written around real uses produce deliverables that can be checked. For tenderers we do the opposite job: we read the requirements and write the pre-appointment BIM execution plan.

What does the BIM execution plan contain?

After the award, the BIM execution plan turns the pre-appointment plan into operating rules: roles and appointments, model structure and breakdown, coordinate system, naming conventions, levels of development by stage, delivery schedule, coordination, checking and approval procedures, CDE rules. It must be approved by the client and updated when the project changes.

We write it following the structure of the requirements, point by point, so the contracting authority can check it quickly and no requirement is left unanswered. It is the method with which we have seen plans approved without objections.

How is the common data environment set up?

The CDE (common data environment in ISO 19650, ACDat in Italian standards) is the platform where models and drawings are uploaded, reviewed, approved and archived. It must be set up before the first delivery: folders by state (work in progress, shared, published, archived), role-based permissions, file naming, review and approval workflows, version traceability.

We use Autodesk Forma or the environment chosen by the client; the CDE manager is one of the roles we provide. ISO 19650-5 adds information security requirements, to be applied on sensitive assets such as data centre projects, where coordination and BIM management also follow the client's confidentiality rules.

Roles

Who does what in information management?

The UNI 11337-7 roles and how B1P Group fills them, by project or by organisation.

RoleResponsibilitiesHow we provide it
BIM managerInformation process rules, requirements and plan, relations with the client, checking that the rules are followedExternal, named in the plan, by the day or as a lump sum for the project
BIM coordinatorCoordination of the discipline models, clashes, deliveries on the CDE, checking compliance with the planExternal, for projects with several disciplines or suppliers
CDE managerAdministration of the environment: users, folders, states, archivingIncluded when the CDE is provided by B1P Group

Frequently asked questions

Frequently asked questions about BIM management

Do I need an in-house BIM manager or is an external one enough?

For a single project, an external BIM manager named in the plan, with written responsibilities, is enough. Organisations that deliver several projects in BIM benefit from training someone in-house: in that case we set the rules, train the person and support them on the first projects.

Which BIM tools make it easier to share data with clients and suppliers?

A common data environment set up with states, permissions and approval workflows: Autodesk Forma is the one we use most, but the rules matter more than the platform. Data security is governed through role-based permissions and ISO 19650-5.

Who writes the organisational act?

The contracting authority, before requiring BIM in a tender: it is the formal act in which the authority decides how it is organised, which tools it adopts and how it trains its staff (art. 43 of the Code and Annex I.9). B1P Group drafts it with the authority and keeps it consistent with the exchange information requirements.

Does BIM management also cover construction?

Yes, if the plan provides for it: the BIM coordinator follows the contractor's deliveries, model updates, interim valuations on the model and the as-built model. For details, see the BIM for construction service.
